What the AI assistant can do
The read-only lookups the assistant can use, example questions, how answers are laid out, and how price-change proposals are approved.
The assistant does not read your database freely. It can only use a fixed set of read-only lookups, each built on the same services as the console's own pages and reports. This page lists them, shows what to ask, and explains the one thing it can draft: a price-change proposal.
The lookups #
You only get the lookups your role allows. On a new conversation, open What the assistant can look at for you to see your own list.
| Lookup | What it answers | Also needs |
|---|---|---|
| Inventory summary | Units in stock, advertised value, average price, average and oldest days in stock, grouped by rooftop, category, make, model, condition, type or age band | inventory.view |
| Inventory search | Up to 25 matching units: stock number, year, make, model, trim, condition, rooftop, price, days in stock | inventory.view |
| Lead summary | Leads, won, lost, open, conversion and close rate, sources, average first response | a lead permission |
| Recent leads | Up to 25 recent leads with source, status, salesperson and vehicle of interest | a lead permission |
| Lead report by dimension | Leads by salesperson, rooftop or source | analytics.view and a lead permission |
| Appointments summary | Appointments, completed, no-shows, cancelled, show rate | appointments.view |
| Website traffic | Page views, vehicle views, saves, searches, visitors, referrers, most-viewed vehicles | analytics.view |
| Metric | Any KPI from the metric definitions, with the same numbers as the reports | the metric's own permission |
| Service performance | Service revenue by pay type, labor and parts, average repair order | service.reports.view |
| Service technicians and capacity | Billed, actual and clocked hours, efficiency, productivity, unused capacity | service.reports.view |
| Service opportunities and delays | Most-declined work, recommended-work outcomes, repair orders waiting on parts | service.reports.view |
| Auction performance | Sell-through, reserve success, bidders, winning bids, days to sell | auctions.view |
| Auction candidates (aging inventory) | Aging retail units with your own auction history for the same make and model | auctions.view, inventory.view |
| Market comparables, Market position, Market demand signals | Competing listings, your price position, demand by segment | ai.market_research |
Costs, gross and profit appear only with ai.view_financials. Lead messages and vehicle descriptions are never read, and hidden maximum auction bids are never visible.
Example questions #
- "How many vehicles do we have in stock, by rooftop?"
- "Which units have been in stock more than 90 days?"
- "How many leads did we get in the last 30 days, and from which sources?"
- "What is our average first-response time to leads this month?"
- "Which technicians had unused capacity last month?"
- "What is our auction sell-through for cruisers this year?"
If you do not give a time period, lookups use the last 30 days. You can ask for up to 366 days back, or a date range of up to 731 days. If you name a rooftop you do not have access to, the assistant is told it is not available to you.
Read an answer #
Every answer has the same parts:
- Conclusion, the short answer.
- Supporting points from the model.
- A table of the numbers, built straight from the lookup results (not retyped by the model).
- Scope: dates, time zone, rooftops, filters and currency for each lookup, plus the source, "as of" time, sample size and formulas.
- Links to the matching console pages, so you can drill down.
- Warnings, for example a small sample or missing costs.
- Recommendations, always labeled as suggestions.
Open Show tool data to see each lookup, its settings and its tables. With ai.export you can select Download tool tables (CSV); the file contains only the lookup values, never the model's text.
If an answer contains a number that does not match the lookup data, it is marked Unverified numbers. Check that figure against the linked page before you rely on it.
Approve a price-change proposal #
If your dealership has switched on the proposals feature, you can ask something like "Draft a price drop for stock 24-117 to $8,995". The assistant cannot change the price. It creates a proposal that waits for a person.
(open full size)- Waiting for approval. Proposals not yet decided: the vehicle, the price Before and After, Why (assistant), the permission needed and who asked.
- Recently decided. Proposals that were approved, rejected, failed or expired, and who decided.
To decide on a proposal:
- Open Reports & AI › Assistant and select Proposals.
- Review the vehicle, the Before and After prices and the assistant's reason. A sale price, if the unit has one, stays as it is.
- Select Approve (and confirm) or Reject. If you lack
inventory.edit, the row says a manager with inventory editing must approve.
When you approve, MotoDealerHQ re-checks everything first: the proposal is still pending and not expired, you have permission, the vehicle is at one of your rooftops and still for sale, and its price has not changed since the proposal was made. Then it changes the price as you, through the normal inventory editor, with price history and an audit log entry.
Tips #
- Ask one clear question at a time; follow-ups in the same conversation keep the context.
- When a number matters, use the drill-down link to open the underlying page.
- Proposals are a starting point. Compare with market research before approving.
