MotoDealerHQ

Plans, limits and trials

What your MotoDealerHQ plan includes, how usage limits work, how the free trial ends and what each account status means for your console and website.

Your plan decides which parts of MotoDealerHQ are switched on for your dealership and how much you can add (locations, staff accounts, vehicles and so on). This page explains how to read your plan, what happens when you reach a limit, and how trials and account statuses work.

See what your plan includes #

  1. Open Settings › Billing.
  2. Scroll to Features & usage.
The Features and usage table with the Locations row and the Invoices heading highlighted (open full size)
Features & usage in the demo dealership. Numbers match the list below.
  1. Limits. Rows such as Locations, Staff accounts and Vehicles show your plan's allowance in Included and what you use now in Usage (for example 3 / 5). "Unlimited" means there is no cap. An at limit badge appears when you have used everything.
  2. Invoices. Your MotoDealerHQ invoices are listed below the table.

Features show a check mark when they are included and a dash when they aren't.

What a plan can include #

MotoDealerHQ sets the plans, prices and trial lengths, and can change them. The Pricing page on motodealerhq.com always shows the current line-up. Every plan is built from the same list:

AreaFeatures
Website and inventoryDealer website, Inventory management, Advanced inventory (imports, bulk tools, price history), Advanced branding controls, Custom domains
Sales and CRMLead capture forms, Sales CRM pipeline, Follow-up automation and workflows, SMS messaging, Secure credit applications and lender submissions
DepartmentsService department and parts inventory, Parts and accessories web store, Online auctions, Marketing tools
Reach and dataMarketplace syndication, Reporting and analytics, REST API access, Advanced integrations (DMS, feeds)
GroupMultiple locations
SupportPriority support

Limits: Locations, Staff accounts, Vehicles, Import sources and API keys.

The AI assistant and its monthly budget are set separately for each dealership by MotoDealerHQ. They show as "AI assistant" and "AI monthly budget (cents)" in the table. See AI provider setup.

When you reach a limit #

  • You can't add more of that thing (for example, a fourth location on a three-location plan, or a new staff invitation once members plus pending invitations reach the limit). The console tells you which limit stopped you.
  • Nothing you already have is removed or hidden.
  • To get more room, move to a bigger plan. See Managing billing.

If MotoDealerHQ lowers a plan's limits, nothing is deleted either: you simply can't add more until you are back under the limit.

How the free trial works #

  1. Draft. A dealership created through self-service signup starts as a draft while you work through the setup wizard.
  2. Trial. When MotoDealerHQ approves your go-live request, the dealership moves to trial and the website goes public.
  3. During the trial you can switch plans yourself and the change applies at once, as long as your usage fits the new plan.
  4. Trial end. When a trial end date is set, Settings › Billing shows "Trial ends …", and so does the Plan and trial step of the wizard. MotoDealerHQ checks for ended trials every hour:
    • with a paid invoice on record, the account becomes active;
    • without one, it moves to past due by default (MotoDealerHQ can choose suspended instead).

Ending a trial never deletes anything.

Past due and the grace period #

When a payment fails, or a trial ends unpaid, your account is past due. The console and website keep working and a banner reminds you to pay.

If a paying account stays past due for more than 14 days (MotoDealerHQ can change this), it is suspended automatically. Accounts on a free ($0) plan are never suspended for billing.

  • With card billing, the next successful payment lifts a billing suspension by itself.
  • With invoice billing, the account returns to active once the MotoDealerHQ billing team records your payment.

A suspension that MotoDealerHQ staff applied for another reason stays in place until staff lift it, even if a payment arrives.

What each account status means #

StatusPublic websiteConsoleAPI, imports and workflows

ActiveLiveFull useOn
Past dueLiveFull use, with a bannerOn
Suspended"Temporarily unavailable" pageRead-onlyOff (imports and workflows paused)
CancelledOffline noticeRead-onlyOff (imports and workflows paused)
ArchivedNot foundNo sign-inOff

In a read-only console you can still open Settings › Billing and send billing requests, sign out, revoke support access and open support tickets. No status change ever deletes your data.

Tips #

  • Check Features & usage before a busy season: adding a rooftop or a batch of new staff may need a bigger plan.
  • Plan ahead for your trial end so there is no gap. Card billing (when available) is the quickest way to stay active.
  • Only active staff count toward Staff accounts, and archived vehicles don't count toward Vehicles. Suspending people who have left, or archiving sold units, frees up room.
