Profitability Command Center

Unit-level landed cost, gross profit and net contribution for sold units, expected versus actual, with advertising rules and a reconciliation to your books.

Last updated For dealership owners, general managers and finance staff Documentation for MotoDealerHQ 1.0.0-beta.2 “Assen”

The Profitability Command Center shows, for every unit sold in a period, what it really cost and what it really contributed: acquisition, auction fees, transport, reconditioning, landed cost, gross profit, floorplan and holding cost, advertising, commission and net contribution. It compares each result with what you expected, and checks its own totals against your sales and cost records to the cent.

Open it #

  1. Open Inventory › Profit command center (/profitability).
  2. Choose From and To dates and, if you have several, a Rooftop (or "All I can see"). Select Show.

What the numbers mean #

TermMeaning
Landed costAcquisition (hammer or purchase price) + auction fees + transport + reconditioning, prep and detailing + other costs, from the unit's cost ledger
Gross profitSale price − landed cost
Net contributionGross profit + sale fees collected − floorplan interest − daily holding cost − allocated advertising − commission
Expected gross / expected netThe same arithmetic using the unit's last advertised price before it sold (an asking price, not a result), with the same costs. Commission is held at its actual value.

Not full accounting net income

Net contribution is a unit-level measure. Rent, payroll, utilities, taxes, depreciation and other overhead are not allocated to units, so it is not your accounting net income.

Floorplan interest is worked out from your floorplan rate on the financed amount for the days held, and daily holding cost from your holding-cost rate. Set both under Finance › Holding cost (see costs and holding). If they are not set, the page warns that floorplan and holding show as 0.

Commission shows as recorded on the sale. Where none is recorded it is estimated from your commission rule and marked (estimate), or marked (unknown).

The sections #

  • Period totals: every line above, added up for the units sold, with expected gross and expected net contribution next to the actual figures for the units that had a recorded asking price.
  • Reconciliation to the books: each total recomputed straight from your sales records, cost records and commissions and compared to the cent. All match, or Differences found with the difference on each line. It also checks linked invoices: a voided invoice on an active sale, or an invoice subtotal below the sale price, is listed.
  • Sold units: one row per unit with every component, actual and expected. Hover the advertising figure to see which rule charged it.
  • In stock now: expected only: for units still in stock, landed cost so far, holding cost accrued, asking price, expected gross and gross after holding. No actual gross exists until a unit sells.
  • Advertising allocation rules: see below.

Advertising allocation rules #

Advertising is charged to a unit only by a rule you write. With no active rule, no advertising is charged and the page warns you.

  1. Under Advertising allocation rules, enter a Name and choose a Method:
    • Fixed amount per unit sold: enter the Amount per unit.
    • Percent of sale price: enter the Percent of sale price.
    • Marketing spend of the sale month, split evenly across units sold: optionally limit it to one Marketing spend channel. It uses the spend you recorded under ad spend.
  2. Optionally set Effective from and Effective to.
  3. Select Add rule. Use Turn off and Turn on to change which rules count.

Permissions #

Permissions

  • Viewing needs profitability.view and costs.view. Owners, general managers, sales managers, rooftop admins and inventory managers have profitability.view by default.
  • Adding and switching advertising rules needs profitability.manage (owners and general managers by default).
  • Rooftop limits apply: you see only the rooftops you can work at.

Limitations #

Limitations

  • Contribution is a unit-level measure; overhead such as rent and payroll is not allocated.
  • Only sold units with a recorded acquisition cost are listed. Add missing costs on the unit to include it.
  • Advertising is only what your rules allocate; MotoDealerHQ does not guess it.
  • The figures are not posted to an outside accounting system.
