Digital inspections and templates

Run a multi-point inspection on a phone or tablet, rate each item with notes, measurements and photos, and turn findings into recommended work on the estimate.

A digital inspection is a checklist the technician fills in on the shop floor. Each item gets a rating, notes, a measurement and photos. Items that need attention become recommended work on the estimate with one click, so the customer sees exactly what was found.

Before you start #

  • The setup wizard adds four standard templates: motorcycle multi-point, ATV / UTV, vehicle (automotive and RV) and PWC / marine. Edit them or add your own under Service & parts › Inspection templates.
  • Technicians need service.time.clock or service.ro.edit to fill in an inspection. Adding findings to the estimate needs service.estimates.manage.

Edit or add a template #

  1. Open Service & parts › Inspection templates.
  2. Select a template to edit it, or New template.
  3. Enter a name, the brands it applies to (empty means all), a department, an optional service type and location, and tick the unit types it is for (none means all).
  4. List the items in the big text box, one per line, as Section: Item | unit. The unit is optional and is shown next to the measurement, for example Brakes: Front pad thickness | mm.
  5. Tick Active and select Save template.

  3. Items, one per line.

Run an inspection #

  1. Open the repair order and scroll to Inspections.
  2. Leave Best match for this unit selected, or pick a template, and select Start inspection. The best match is the active template whose unit type and brand fit the unit.
  3. For each item choose Good, Needs attention, Urgent or N/A. Add a measurement, notes, a recommendation and, for problems, estimated hours and price.
  4. Use Add a photo under any item. On a phone it opens the camera.
  5. Select Save as you go, and Save and complete when you are done.

Add findings to the estimate #

  1. Items rated Needs attention or Urgent show an Add to the estimate checkbox, ticked by default.
  2. Save the inspection first, then select Add ticked items to the estimate.
  3. Each ticked item becomes a recommended labor line on the RO (awaiting the customer's approval), and a new estimate revision is prepared. A quoted price is kept.
  4. Send the estimate as usual. See estimates and approvals.

Items already on the estimate show the badge on the estimate.

Tips #

  • Keep templates short. Twenty to thirty items cover most multi-point checks.
  • A clear photo of a worn part does more than a long note.
  • Put the measurement unit in the template (mm, psi, %) so every technician records it the same way.
