Technician time clock and My jobs
Technicians see their open jobs on a phone, clock in, pause, clock out and complete each job; managers correct time entries with an audited reason.
Technicians clock time against each labor line, so you know how long a job really took. My jobs is a phone-friendly list of a technician's open work with big clock buttons. Actual hours are the sum of the time entries; billed hours stay at the flat-rate hours on the line, which is what the efficiency reports compare.
Before you start #
- The technician's profile must be linked to their login: Service & parts › Technicians, advisors & bays, open the technician, and set Staff login (time clock, My jobs).
- Technicians need
service.time.clock. The Technician role has it. - Only approved labor lines can be clocked.
Use My jobs #
- Open Service & parts › My jobs. On a phone, install the app for quick access.
- Each card shows the RO number and status, the promised time, the job, the unit and VIN, estimated and actual hours and the customer's concerns.
- Select Clock in to start. The card shows "On the clock since".
- Select Pause for a break, Clock out when you stop for now, or Complete when the job is done.
(open full size)- Job card: RO, status, unit and hours.
- Clock in / Complete buttons.
Service managers with service.time.manage see a Technician list at the top and can run the clock for anyone.
Clock from the repair order #
On the RO page, every approved labor line that is not complete has Clock in and Mark complete buttons, and Pause, Clock out and Complete while the clock runs.
Rules #
- A technician can have only one running time entry. To start another job, clock out of the first one.
- Recorded time cannot overlap, unless the rooftop allows it (Technicians may clock overlapping time in Service settings).
- An RO cannot be closed while a technician is still clocked in on it.
Correct time #
Mistakes happen: a forgotten clock-out, a job clocked on the wrong line.
- Open the RO and scroll to Time entries.
- Select Correct on an entry, change the start and end, enter a Reason and select Save correction. Or enter a reason and select Remove entry.
- To add time someone forgot to clock, open Add time manually, choose the job and technician, enter the start, end and reason, and select Add entry.
The original times are kept and the change is written to the audit log with before and after values. Removed entries stay visible, greyed out.
Tips #
- Clock in when you start working on the unit, not when it is assigned. Accurate actual hours make the efficiency and utilization reports useful.
- Use Pause for breaks and parts runs so the time stays on the same job.
