The dealership calendar
See your day and week in one place on the dashboard and the Calendar page, filter it by person, rooftop and type, and add your own reminders, meetings, notes and to-dos.
The calendar brings together everything with a date in the console: sales appointments and test rides, follow-ups and tasks, service visits and promised pickup times, deliveries, auctions, inventory on its way, purchase approvals, customer request follow-ups, website events and technician time off. You see only what you could already open in each part of the console, at your own rooftops. On top of that, you can add your own calendar items.
Before you start #
- Everyone with a staff account can open the calendar. Read-only users can look but not add items.
- Times are shown in your dealership's time zone (Settings › Settings & domains).
- What appears depends on your plan and your role. For example, service visits need the service department, and auctions show only if you work with auctions.
Your calendar on the dashboard #
The Calendar card on the dashboard shows today and the next seven days, with a small month view next to it. Days with something on them have a dot. Select a day to open it, or Open calendar for the full page.
Each entry shows its time, its type (a colour, an icon and a word such as Test ride or Promised by), its title and a link to the record it came from.
Day, week, month and agenda #
- Open Overview › Calendar.
- Choose Day, Week, Month or Agenda (the next 30 days as a list).
- Use Previous, Today and Next, or pick a date and select Go.
In the month view you can move between days with the arrow keys and press Enter to open one. Page Up and Page Down move to the previous or next period. On a phone, the month view shows how many entries each day has; tap a day to see them.
Filter what you see #
Open Filters above the calendar:
| Filter | Choices |
|---|---|
| Whose events | Mine, My team (people who share a department or a lead team with you), My rooftop and Everyone. Managers start on Everyone, everyone else on Mine. Dealership-wide entries such as website events and auctions always show. |
| Rooftop | One of your rooftops, if you work at more than one. |
| Types | Tick the kinds of entries you want, for example only Service and Deliveries. Leave them all unticked to see everything. |
Filters only narrow the calendar. They never show you anything you could not already see.
Add your own items #
- Select Add and choose New calendar item. In the day and week views you can also select + next to an hour or a day.
- Choose the Kind: Reminder, Meeting, Note or To-do.
- Enter a Title, the Date and either a Start time and Duration, or tick All day.
- Optionally add Where, Notes and a link to a customer, lead, vehicle or deal (pick the Record type and enter its number).
- To repeat it, choose Every day, Every week or Every month under Repeats and give an Until date. A repeating item keeps the same local time when the clocks change.
- Pick a reminder under Remind me if you want one. Reminders arrive in the console and as a push notification on the mobile app, and by email too if you tick Also by email and your platform sends email.
- Select Add to calendar.
To-dos have a Mark done button on their page. For a repeating to-do, each day is marked done on its own.
Book appointments from the calendar #
Add also offers New sales appointment and New service appointment if you can book them. They open the usual booking forms with the date and time you picked. A sales appointment still needs a customer: choose one, then Schedule appointment, and the time you picked is filled in. See sales appointments for the rest of the booking steps.
In your phone's calendar #
If you subscribe to your personal calendar link (Sales › Appointments › Add to my calendar), your own calendar items appear there next to your appointments. See sales appointments and calendar feeds.
Troubleshooting #
| Problem | What to check |
|---|---|
| An appointment or task is missing | You see only what you can open elsewhere. Salespeople see their own leads' appointments and tasks; check Whose events and Types. |
| I can't share an item | Sharing beyond Only me is for managers. |
| The Add button is greyed out | You are in the demo dealership, which is read-only, or your role can only view the calendar. |
