The sales pipeline board

See every open lead by stage on a board, drag cards from New to Won, and keep response times and win rates honest.

Last updated For sales managers and salespeople Documentation for MotoDealerHQ 1.0.0-beta.1 “Assen”

The pipeline board shows your leads as cards in columns, one column per stage. It is the quickest way to see where every deal stands and what needs a push today.

Before you start #

The board needs a plan with the sales CRM (Pro and Enterprise). On Starter, use the lead list and change the stage on each lead page.

The stages #

StageUse it when
NewThe lead just arrived and nobody has contacted the customer yet.
ContactedYou reached the customer (call, text, email or chat).
QualifiedYou know what they want, their budget and timing.
AppointmentA visit, test ride or delivery is booked. Booking an appointment on a New, Contacted or Qualified lead moves it here for you.
NegotiatingYou are working numbers or a deal is out to the customer.
WonThey bought.
LostThey bought elsewhere, went quiet or are not buying. Record a lost reason.

The Won and Lost columns show the last 30 days, so the board stays focused on live work.

Move a lead to another stage #

  1. Open Sales › Pipeline.
  2. Narrow the board with Search or Assigned, then select Filter.
  3. Drag a card into the next column. The change saves as soon as you drop it.
  4. No mouse, or on a phone? Pick the new stage in the menu on the card instead. It saves straight away.
  5. To mark a lead lost with a reason, open the lead and use Lost reason (when marking lost) under Update lead.
The pipeline board with the filters, a stage column, a card's move control and the list view button highlighted (open full size)
Sales › Pipeline in the demo dealership. Numbers match the list below.
  1. Filters: search or show one salesperson's cards.
  2. Stage column: the heading shows how many leads are in it.
  3. Move without dragging: the stage menu on each card.
  4. List view goes back to the lead list.

What happens when a stage changes #

  • Leaving New records the time of first contact. That powers the average first response in reports and stops the aging-lead alert for that lead.
  • Won and Lost are timestamped. Reopening the lead (moving it back to an open stage) clears them.
  • Every move is written to the lead's Activity timeline and to the audit log.
  • If you use response targets, a lead's response clock is met by its first stage change out of New (see automation and SLAs).

Tips #

  • Run your morning meeting from the board: filter by salesperson, then walk the New and Negotiating columns.
  • Use Priority hot on the lead page for buyers who are ready now. Cards show it.
  • Keep Won honest. Close rate and conversion in reports come from these stages.
