Tasks and follow-ups

Give every lead a next step: add tasks with due dates, see what is due today or overdue, and get reminded before a follow-up is due.

Last updated For salespeople and sales managers Documentation for MotoDealerHQ 1.0.0-beta.1 “Assen”

Tasks are the to-dos that move a deal forward: call back Saturday, send the out-the-door price, check the trade payoff. Each task has a due time and an owner, and most belong to a lead. Sales › Tasks is the list of everything due.

Before you start #

Tasks need a plan with the sales CRM (Pro and Enterprise).

Add a task to a lead #

  1. Open the lead and find the Tasks panel.
  2. Type the Task, for example "Call back with trade number".
  3. Pick a Due date and time and the Assignee. Leave the assignee as the lead owner to give it to whoever has the lead.
  4. Select Add task.

The task shows on the lead, on the assignee's My work page and on Sales › Tasks.

Work your task list #

  1. Open Sales › Tasks.
  2. Pick a view: Open, Due today, Overdue, Completed or All. Managers can switch between Mine and Everyone.
  3. Select a customer name to open the lead behind the task.
  4. Tick the box in front of a task to mark it done. Tick it again to reopen it.
The task list with the view tabs, the add task form and the done checkbox highlighted (open full size)
Sales › Tasks with Everyone and All selected. Numbers match the list below.
  1. Views: what is due, overdue or done, for you or everyone.
  2. Add a task that is not tied to a lead, such as "Order brochure stand".
  3. Mark done with the checkbox.

Tasks sort by due time, so the most urgent ones are always at the top.

Get reminded before a task is due #

When the Follow-up reminders workflow is on, the assignee gets a notification (in the console, by email and as a push notification) shortly before each open task is due (15 minutes by default). Owners and general managers can change the timing under Settings › Workflows. See automation and SLAs.

Follow-up sequences can also create tasks for staff, for example "Call to check how the first ride went" three days after delivery.

Tips #

  • One open task per lead is a good rule. When you finish one, add the next.
  • Use Due today as your daily call list and Overdue in your weekly one-on-ones.
  • Put the customer's words in the task ("wants it in blue, call after 5 pm"), so a colleague can pick it up.
