Trade-in and service requests
Review "Value your trade" submissions and make offers, and handle simple service requests from your website forms.
Two website forms create more than a lead. Value your trade creates a trade-in request with the unit's details, and the service request form creates a service request. Both are linked to the customer and their lead, so the salesperson sees everything in one place.
Before you start #
- Both lists are part of every plan. The forms are installed on every new website; you can edit them under Marketing › Forms (see promotions and forms).
- Dealerships on a plan with the full service department book service work through online scheduling and repair orders. The service request list stays useful for simple website requests.
Review a trade-in request #
- Open Sales › Trade-ins.
- Use the status links at the top to filter: All, New, Reviewing, Offer made, Accepted, Declined or Closed.
- Select a request. Details shows the condition, Mileage / hours, VIN / HIN, Payoff owed and the customer's notes.
- Set the Status, enter an Offer amount and add Notes for your team.
- Select Save.
(open full size)- Status filter.
- Your offer, once you have made one.
- Open a request to see the details and update it.
Every update is noted on the lead's Activity, including the offer amount ("Trade-in offer made — offer $4,500"). Select Open lead → to call or message the customer.
Handle a service request #
- Open Sales › Service requests.
- Filter by status if you like: New, Scheduled, In progress, Completed or Closed.
- Select a request to read the Request: vehicle, description and preferred date.
- Set the Status, the Location and the Date, then select Save.
- To book a time, select Schedule service appointment.
(open full size)- Preferred date the customer asked for.
- Status of each request.
- Open a request to update it.
Marking a request Completed can start a "service visit" follow-up sequence (see automation and SLAs).
Tips #
- Agree on a response time for trade-ins (for example same day). Shoppers who value a trade are usually close to buying.
- Ask for photos by message if the description is thin; record the offer here so the whole team quotes the same number.
