Promotions and forms

Schedule specials on your website's promotions page, and manage the website forms that turn visitors into leads, applicants and survey answers.

Last updated For marketing managers and sales managers Documentation for MotoDealerHQ 1.0.0-beta.1 “Assen”

Promotions are your current specials. They appear on /promotions, each with its own page, and in the Promotions block on any page. Forms are how visitors reach you: contact, financing, trade-in, test ride, service, vehicle inquiry, job applications and the customer survey.

Find both under Marketing: Marketing › Promotions and Marketing › Forms.

Before you start #

  • Promotions need website.manage. Forms need forms.manage.
  • Upload the promotion image in Website › Media first.
  • Check any offer wording, prices and disclaimers with your compliance contact.

Create a promotion #

  1. Open Marketing › Promotions and select New promotion.
  2. Enter the Title, an optional URL slug and a Summary.
  3. Add the Details and an Image.
  4. Optionally add a Button label and Button link, for example "See eligible units" and /inventory?condition=new.
  5. Set the Starts and Ends dates. Leave them empty to run the promotion until you turn it off.
  6. Choose a Rooftop if the offer is for one location only.
  7. Add the Disclaimer, check Active, and select Save promotion.

  2. Start → end. When the promotion shows on the website.
  3. Live or not. A promotion is live only when it is active and today falls between its dates.

Promotions go live as soon as you save them, if they are active and within their dates. They disappear by themselves after the end date. To stop one early, uncheck Active.

Edit a website form #

Your forms come ready to use. You can change their names, messages and fields, but you cannot create new ones.

  1. Open Marketing › Forms.
  2. Select the form's name.
  3. Change the Form name, the Success message visitors see after sending, or Enabled on the website.
  4. Choose whether the form should Create a sales lead and customer for each submission.
  5. Add extra people to Also notify these emails.
  6. Edit the Fields: each has a name, label, type (text, email, phone, text area, select list, checkbox, number, date or hidden), options for select lists, and whether it is required. Fill in an empty row to add a field, or check Remove to delete one.
  7. Select Save form.

What happens when someone sends a form #

  • Sales forms (contact, financing, trade-in, test ride, service, vehicle inquiry) create or update a customer and a lead in your CRM, with the form's lead source. See Leads.
  • Forms that do not create leads (job applications and the customer survey) are stored under the form's Submissions. Staff with forms.manage get an in-app notification and an email. The survey can be answered anonymously.
  • Every form has spam checks and rate limits. Open Submissions to see what arrived, filter by status, and select Mark as spam if something slipped through.

Tips #

  • Keep forms short. Name, email or phone, and one question convert better than long forms.
  • Use the Form block to put a form on any page, and an event's RSVP form setting to reuse one for events.
  • For consent checkboxes, name the fields consent_email or consent_sms. The label is stored as the consent text. See Consent.
