Group price rules and rooftop admins
Set a minimum advertised price across all stores, sync prices of identical new units, and put rooftop admins in charge of their own stores.
A dealer group needs some rules that apply to every store and some people who run one store each. Settings › Dealer group brings both together: group price rules keep advertised prices consistent, and delegation gives each manager the right stores. Every change on this page is recorded in the audit log.
Before you start #
The Dealer group page is for group administrators: people with group.manage and access to all rooftops. By default that is only the Tenant Owner. See Permissions.
Set a minimum advertised price #
A minimum advertised price rule stops any store from advertising matching units below a price.
- Open Settings › Dealer group and scroll to Group price rules.
- In Type, choose Minimum advertised price.
- Give the rule a Name (optional; one is made for you).
- Enter the Make. Narrow it down with Model, Year, Trim and Condition if you like.
- Enter the Minimum advertised price and keep Active ticked.
- Select Save rule.
(open full size)- Rule type — a minimum advertised price, or a price sync for identical new units.
- Which units — the make is required; model, year, trim and condition are optional filters.
- Minimum price — used by minimum advertised price rules only.
From then on, saving a vehicle in the console, through the API or with a bulk edit is refused if its advertised price is below the highest matching minimum. The advertised price is the sale price when there is one, otherwise the price.
Imports are never blocked. Units that come in below a minimum, or that were priced before the rule existed, are listed under Advertised below a minimum on the same page, with the store, the unit, its price, the minimum and the rule. Fix them from the vehicle page.
Sync the price of identical new units #
A price sync rule sets one price on every matching new unit at every rooftop.
- In Group price rules, create a rule with the type Price sync for identical new units. Enter the Make and, to match identical units, the Model, Year and Trim.
- Select Save rule.
- In the rules table, select Sync prices on the rule. The page lists every matching new unit that is available or in draft, with its store and current advertised price.
- Enter the New price and select Set on N unit(s).
The price is set and any sale price is cleared on all listed units in one step. If a minimum advertised price rule is higher than the new price, the whole sync is refused and nothing changes. Each unit's price history records the change.
Put a manager in charge of some rooftops #
- On Settings › Dealer group, find the staff member under Rooftop managers and rooftop admins.
- Select Assign rooftops.
- Choose the Role, for example Rooftop Admin.
- Tick one or more Rooftops.
- Select Save.
(open full size)- Current rooftops — "All rooftops" or the codes of the stores the person covers.
- Role — any role except Tenant Owner.
- Rooftops — at least one store. The person then only sees records of these stores.
Owners always keep every rooftop, and you cannot change your own role or rooftops. The Rooftops table at the top of the page shows, for each store, who is limited to it.
What a Rooftop Admin can do #
The Rooftop Admin role is built for a store manager. It has the Sales Manager's abilities plus managing staff, adding and editing vehicles and photos, and requesting, approving and moving stock and leads between rooftops. Limited to one or more rooftops, a Rooftop Admin:
- sees and manages only staff whose access lies entirely within their own rooftops;
- never sees staff with access to all rooftops or staff of other stores in Settings › Users;
- can give others only roles and rooftops they hold themselves;
- passes their rooftops on to anyone they invite.
More about roles: users, roles and MFA.
Tips #
- Use a minimum advertised price rule to follow a manufacturer's advertised price policy across all stores.
- Check Advertised below a minimum after each import.
- Give a store manager the Rooftop Admin role limited to their store instead of General Manager, which covers every store.
