Adding and editing units
Add a vehicle by hand, fill in pricing and specs, choose its status and location, and keep your inventory list tidy with filters and bulk actions.
Every unit you sell (motorcycles, side-by-sides, boats, RVs, trailers, cars and more) is a vehicle record in Inventory › Vehicles. This page shows you how to add a unit by hand, what each part of the form does, and how to work with the inventory list. To bring in many units at once from a feed or file, see Feed imports.
Before you start #
- You need permission to add vehicles (see Permissions below).
- Your plan sets how many vehicles you can have. Archived vehicles don't count. If you reach the limit, saving a new vehicle (or restoring an archived one) is refused until you archive something or change plans.
- Set up your categories and locations first, so you can pick them on the form.
The inventory list #
Open Inventory › Vehicles to see your stock.

- Add vehicle opens a blank vehicle form. Imports and Aging sit next to it, and Export CSV appears when you have permission to export.
- Status counts show how many units are available, pending, draft and sold, plus how many have been in stock for 60 days or more. Select a tile to filter the list.
- Search & filters. Search by stock number, VIN, make or model, and filter by status, type, category, make, condition, location, featured, listing completeness and minimum days in stock. Choose a sort order and select Apply. Reset clears everything.
- Bulk actions. Tick vehicles, choose an action (set status, mark or remove featured, move to another location, adjust the price by a percentage or an amount, archive, or set a warranty) and select Apply. Bulk actions need the Advanced inventory plan feature.
- Score is each listing's completeness score from 0 to 100. Select it to jump to the vehicle's merchandising panel.
A Missing from feed badge means the unit was absent from your latest complete import runs. See Reconciliation.
Add a vehicle #
- Open Inventory › Vehicles and select Add vehicle.
- Fill in Basics:
- Vehicle type and Condition (New, Used, Certified pre-owned or Demo) are required. The vehicle type changes which extra detail fields appear further down (for example displacement and ABS for motorcycles, length and hull material for boats).
- Status decides where the unit shows up (see Statuses). New vehicles start as Draft.
- Make is required, unless you enter a Display title instead. Leave the title blank to build it automatically from year, make, model and trim.
- Stock number and VIN (the label changes to HIN for boats and personal watercraft, or serial number for other units). The form warns you while you type if another vehicle already uses the same stock number or identifier.
- Category, Subcategory / style, Location, In stock since (used to count days in stock) and Featured on website.
- Fill in Pricing: the Advertised price (leave it blank to show "Call for price"), MSRP and an optional Sale price. A sale price only shows on the website when it is lower than the advertised price.
- Under Deposits, keep the dealership default or set a custom deposit or no deposits for this unit. See Deposits and buy online.
- Under Marketplaces, tick any channel this unit should stay off. See Marketplace feeds.
- Fill in Specifications (mileage, hours, engine, transmission, colors), the type-specific details and any custom fields your dealership uses.
- Add a Description, Features (one per line), optional Videos (YouTube, Vimeo, Facebook or Instagram links, one per line) and Tags (comma separated; tags can drive website promotions and filters).
- Select Add vehicle. You land on the vehicle's page, where you can add photos, accessories and a warranty and costs.
(open full size)- Vehicle type controls the detail fields shown for this unit.
- Status: only Available and Pending units appear on your website.
- VIN / HIN / serial: checked for duplicates and for a valid check digit. If your dealership turned on the VIN decoder, a Fill from VIN button appears here. See VIN decoding.
- Location: the rooftop that holds the unit.
- Pricing: blank means "Call for price".
Statuses #
| Status | On your website | Notes |
|---|---|---|
| Draft | No | For units you are still preparing. |
| Available | Yes | For sale. |
| Pending | Yes | Still listed, for example while a deal closes. |
| Sold | No | Starts the photo retention countdown. |
| Archived | No | Hidden everywhere except the console. Doesn't count toward your vehicle limit. |
Units in an auction show auction statuses (for example Auction active). Only the auction module sets those. See Creating an auction.
Edit a vehicle #
- In Inventory › Vehicles, select the vehicle's title.
- Change what you need and select Save changes.
- Use Status & removal at the bottom of the page for quick status changes (Mark available, Mark pending, Mark sold), Archive, or Delete permanently (only for draft or archived units).
The vehicle page also shows shopper interest (website views, saves, leads and days in stock) and panels from other areas: identity and catalog data, stock transfers, the sale, costs, accessories, warranty, photos, videos, merchandising and price history.
(open full size)Tips #
- Use Draft while you take photos and write the description, then switch to Available.
- Fill in In stock since for units you already had, so aging reports are accurate.
- Use the Inventory aging page (the Aging button) to see which units have sat longest.
- Each listing's completeness score tells you what to add next.
